Practice Manager

A leading cosmetic laser, injection, and aesthetics practice in Birmingham, Alabama seeks an experienced practice manager to lead management of all clinic operations and functions. The successful candidate will be a highly driven, savvy leader who thrives on operational efficiency and is a natural problem-solver. He or she must be a strategic thinker, skilled communicator, and effective manager of a dynamic team of practitioners and patient coordinators. 

The core responsibilities of this position are outlined below. 

Administrative Management:

  • Lead and manage staff and their associated functions 
  • Develop and/or modify workplace policies and practices that align with the clinic’s mission, improve organizational efficacy, and enhance business performance
  • Manage billing processes to ensure compliance with clinic policies and practices
  • Manage ordering of clinic supplies

Clinic Operations:

  • Manage day-to-day clinic operations and proactively resolve issues that may arise
  • Ensure all clinic offerings are performed optimally to maximize patients’ results and profitability
  • Identify and capitalize on up-sell opportunities; take ownership of appointment scaling process by providing necessary training, resources, and oversight for all team members 
  • Own staffing strategy to maximize operational efficiency relative to daily patient flow 
  • Own patient scheduling strategy to identify patients’ future needs proactively 

Human Resources:

  • Manage recruitment, hiring, training and professional development
  • Monitor, track, and address staff performance and manage ongoing evaluations
  • Champion team and office morale; provide positive reinforcement and disciplinary actions as needed
  • Offer guidance and mentoring to achieve the highest levels of staff/company performance

Marketing/Public Relations:

  • Work with marketing director to understand marketing and public relations goals, and correlation between marketing initiatives and business performance
  • Provide clinic-level support to identify and execute on strategic initiatives that align with overall goals 
  • Identify marketing opportunities proactively and empower staff to participate in their execution
  • Ensure marketing assets are obtained by staff as identified or directed by marketing director 
  • Provide reports to marketing director on ROI, leads, response, efficiency, and ongoing brand development initiatives

Financial Oversight:

  • Manage in-house bookkeeping and prepare necessary deliverables for accountant 
  • Understand the impact of sales to company financials including P&L, Balance Sheet, and Cash Flow
  • Ensure clinic reporting is completed to support financial close and the creation of required financial statements on a monthly, quarterly, and annual basis 
  • Identify necessary operational pivots to ensure comprehensive financial health of the clinic
  • Manage provider commissions to include reviewing and tracking progress against goals 
  • Ensure clinic minimizes time and revenue losses due to inefficiencies in staff and patient schedules 

Strategic Planning:

  • Develop long-term office initiatives to promote business growth and development 
  • Participate and contribute to strategic planning initiatives; and play key role in driving plan forward 

Job Type:

  • Full-time
  • Highly competitive salary commensurate with level of relevant experience and expertise


  • Medical Office Management: 5 years minimum (Required)
  • Cosmetic (Preferred)
  • Proficient with QuickBooks, (EMR) Systems, Microsoft Word and Excel 


  • Bachelor’s (Required)
